Booster Club Meeting Minutes 10-21-2009

Present: David Luttrell, Suzanna Ammenheuser, Linda Disney, Charlie Fowler, Donna Muyshondt, Susan Lisheron, Lisa Fields, Noel Gonsalvez, Terrie Marquette, Roberto Delgado, Marisela Delgado

Meeting was called to order by President David Luttrell at 7:30 p.m.
Minutes from the September meeting were reviewed and were approved by the membership.
Treasurer’s report – The membership amount reported is actually higher, it should be $370.00 because of added memberships. One donation booked as $50 should be changed to $30 as a membership and $20 as a donation. Free t-shirts will still be given with membership fees paid at the pizza party. We decided to add administrative expenses of $250.00 and practice field maintenance expense of $100 back into the budget. Rye grass seed will be used to over-seed the practice fields. The calendars will be the same as last year except that we will sell sponsorships to advertisers and that money will be a donation. A motion was made and approved by membership to accept the treasurer’s report.
Coach’s Comments - Player sign up for tryouts will be November 10th and 12th before school in the coach’s room. Susan Lisheron will update the flyers and send to coach for handing out to players. The date for the parent orientation meeting with the coach will be November 18th at 6:30 p.m. just before the booster meeting. Tryouts are November 30- December 4 after school until dark. There will be a preseason scrimmage for the Varsity and JV A on Saturday January 2 with Dripping Springs. Preseason tournaments this season will be the Hays tournament on January 7, 8, and 9 for Varsity. They will also play in the Governors Cup in Georgetown. The JV A & B teams will play in the Leander/Cedar park tournament. Coach has also scheduled a 3 way scrimmage with Georgetown, New Braunfels, and Canyon. The 3v3 fields have been reserved at the school for the 3v3 tournament.
Old Business

3v3 tournament - Noel has dates of December 5th or 12th as options. Several teams have out of town tournaments on the 5th so we voted on December 12th as the date to hold the 3v3 with the 13th being for rain out. The plan is to start at 8 a.m. and finish by 5 p.m. at the practice fields at school. The cost will be $50 per team with a max. of 5 players per team. We will register up to 32 teams. We will accept high school students only. We will use Varsity and JV players as referees; this will help fill volunteer hours for them. Teams will be restricted to 2 high school/select players per team. Noel expects to raise $1600 for registrations and another $600 for t-shirts/concessions. He expects to have expenses of about $200 for painting lines for the fields and trophies. David will fill out and turn in the activity form for the tournament.
Membership – Roberto and Mike are planning for the parent orientation meeting.
Concessions – Nothing new to report.
Budget – Handouts. After review and additions noted earlier, a motion was made to approve the budget and was passed by membership.
Scholarships Applications – Maria and Kris will work to add volunteer hours to the application form. They will try to have the number of hours by next meeting to vote on. If anyone has ideas or thoughts please email to Maria or Kris.
Pizza Party – Scheduled for December 10 in the cafeteria. David will check with Kris on taking charge of this.

New Business

Upcoming meetings - Tryout meeting with players, November 10 & 12 before school in coach’s room.
Parent orientation meeting - November 18 at 6:30 in cafeteria. All new player’s parents and returning players parents encouraged to attend.
