Booster Club Meeting Minutes 09-16-2009

Present: David Luttrell, Maria Stuart Paredes, Trish Lopez Broz, Susan Lisheron, Terrie Marquette, Lisa Fields, Roberto Delgado, Marisela Delgado, Noel Gonsalvez, Suzanna Ammenheuser, Mike Jones, Coach Sam Miller

Meeting called to order at 7:04 p.m. by President, David Luttrell.
Minutes from the April 15, 2009 meeting were read. Motion was made to approve with a second. Membership voted to accept minutes.
Bulldogs & Hotdogs – David reports that Lisa Munden did a great job at coordinating the event. Thanks were also given to Tom & Lisa Fields for cooking the food at their house. We sold out of fajitas and ice cream floats. We used 50 lbs. of meat. It was suggested that maybe we use slightly less meat in each fajita next year. The speed shot did not go over probably since we were in a corner of the cafeteria, it was not very visible.
Treasurers report - Maria reports that we made a total of $714.00 at Bulldogs & Hotdogs: $419.00 on food, $245.00 in membership dues and $50.00 in tshirt sales. The booster budget needs to be filed in October. David will double check on the date. The booster banners may be put back into the budget this year. The art department did not do them. Trish will check on this. The end of year 2008-2009 profit was $345.63. The current balance is $3765.05 with $1,000.00 of scholarships that need to be given out. Motion was made to approve the treasurers report with a second motion given. Report passes with vote from membership.
Coach’s comments – Tryouts will begin Monday, November 30, ending on Friday, December 4. He expects to have 3 teams again. They are looking for another coach to help out with the 3rd team this year. Suzanna will check with P.E. coach at Mills (Coach Torrence). David thinks we may be able to get more parents involved if we have a parent/player orientation about a week before tryouts to inform them of the process & what to expect. Pizza party will take place last night of tryouts with seniors introducing the new players. Coach will have a player meeting at school to hand out info to the students interested, probably November 23, Monday. Contact information will be asked of the players at tryouts so we can get phone numbers and emails of new players/parents. Coach reports that the forms we used last year for the uniforms did not work well. He did not get most of the forms from the players. We discussed collecting $50.00 check from players/parents when picking up uniforms to hold until uniform is returned to coach. Trish will check to see if we can do this. The fundraiser for the spring will be cookie dough.

New Business
1. Draft 2009-2010 budget – Maria used actual numbers and rounded down for new budget numbers. We decided to up the number for scholarships since we have more seniors this year. All other numbers are ok. Budget to be voted on at next meeting.
2. Membership - Mike and Roberto want to work on boosting membership this year. We have already reduced the dues amount to $30.00. Their target is 80% membership. They will be personally calling parents, making a membership chart to
  take to games and we are giving a free tshirt with paid memberships. Mike and Roberto can also enter all email addresses into the yahoo group so they can receive all information on the boosters and teams. From Bulldogs & Hotdogs we received
  payment for 11 memberships, 9 at $30.00 and 2 at $65.00.
3. Fall fundraiser – Options: Calendars again but with sponsors that sponsor the teams. There would be no charge for the calendars they would be handed out. Noel Gonsalvez brought up the idea of having a 3v3 tournament at the school. Players
  could help referee as well as play on teams but with a limit per team. Noel will check on this with Coach Ables on field use. For the spring we can have the car wash again.
4. Concessions – AISD has hired a company to run the concessions at school functions. If the company decides that they do not want to work soccer games then we will be able to have our own concessions as in previous years.
5. Scholarships – Kris Bloomfield and Marisela Delgado will be working on expectations of applicants, to be done by December.
6. Pre-season Pizza party – See notes under Coaches Comments.
7. Video Recording – Suzanna requests that pictures of seniors be turned in as soon as possible. She is thinking of having certain kinds of pictures so she will let us know as soon as she can.
Date of Next Meeting – October 21, 2009. We may be changing the date because another club has scheduled the room the same time as we have. Susan will check to see if we can get another room same time and day or we may move to 2nd Wednesday of the month.
